Privacy Policy

Attendance HRM ("the App") is an internal attendance, activity, field-visit and leave management system used by Trainers and District Coordinators, and by administrators of the organisation that operates it. This policy explains what information the App collects and how it is used.

Who this applies to

The App is provided by your employer for internal HR and attendance management. It is not available to the public and is not directed at children. Only employees issued an account by an administrator may sign in.

Information we collect

• Account & employment details — name, employee code, email, mobile number, role, district/block/school, department, designation, and employment status, entered by your administrator or by you in your profile.
• Live camera photo — when you mark attendance (IN/OUT) or submit an activity or field visit, the App opens your device camera to capture a live photo as proof of presence. This is the only use of the camera; photos are not used for facial recognition, advertising, or any purpose other than the record you are submitting.
• Attendance & activity records — the timestamps, category, description and status of attendance, activities, field visits, leave requests and corrections you submit.
• Device information — a basic device/browser identifier string recorded with each attendance punch, used only to help administrators verify submissions.

The App does not collect your device's GPS/location.

How this information is used

• To record and verify attendance, activities, field visits and leave for HR and payroll purposes.
• To let your administrator review, approve, reject, or (with a logged reason) correct records.
• To generate attendance reports and printouts for your organisation's internal use.

Who can see your information

Your photos and records are visible only to your organisation's administrators and authorised HR staff through the admin panel — never made public, and never sold or shared with advertisers or unrelated third parties. Data is stored on servers operated for your organisation and is not shared with third parties except the hosting provider that stores it on the organisation's behalf.

Data retention

Attendance, activity and leave records are retained as part of your employment record for as long as your organisation's HR policy requires. You may ask your administrator to correct inaccurate information.

Permissions used by the mobile app

• Camera — required to capture the live verification photo described above. The app does not access your photo gallery.
• Internet — required to sign in and sync your records with the server.

Security

Access to the admin panel and API requires authentication. Passwords are stored using industry-standard hashing and are never visible to administrators in plain text.

Changes to this policy

We may update this policy from time to time; the "Last updated" date above will change accordingly.
